Agent Migration and Workspace Team Sharing

Objective

This documentation provides step-by-step guidance for support and success teams on how to migrate agents across workspaces and effectively collaborate within Synthflow's team environments. It includes import/export instructions, workspace sharing protocols, and best practices for agent types and workspace management.


When to Use This

Use this guide when:

  • Migrating AI agents from an Agency account to a sub-account.

  • Sharing a workspace with additional team members.

  • Setting up agents within a newly created or transferred workspace.

  • Ensuring consistent configuration across agents and workspaces.


Step-by-Step Instructions

Importing an Agent into a Subaccount

  1. Navigate to Products > Import Products.

  2. Select the Subaccount (e.g., "MedFacial").

  3. Under Select Type of Product, choose Agent.

  4. Under Select Agent, pick the agent from the list (e.g., "Sales Manager", "Customer Support").

  5. A copy of the selected agent will be imported β€” the original remains unchanged.

⚠ Only agents created at the Agency level can be templated; subaccounts can instantiate Outbound, Inbound, or Widget agents from scratch or templates.


Exporting an Agent

Synthflow does not currently support direct β€œexport” functionality. Instead, to share or reuse an agent:

  • Use the Import function in the target subaccount.

  • Ensure the source agent resides in the agency-level library to be selectable.


🧠 Types of Agents You Can Import or Create

Subaccounts support the creation/import of these agent types:

  • Outbound: Used for initiating calls (e.g., cold calls, reminders).

  • Inbound: Handles incoming queries and calls.

  • Widget: Embedded in websites for live chat and lead capture.

Refer to the agent type selection screen under Agents > Create Agent > Choose Type.


Workspaces and Team Collaboration

What is a Workspace?

A Workspace in Synthflow acts as a container for agents, workflows, integrations, and team members. Each client or agency typically operates within its own workspace.

Workspace Features:

  • Own API keys, integrations (GHL, Twilio), and billing.

  • Agent and workflow isolation.

  • Permissions and billing are managed independently.


Sharing a Workspace

  1. Go to Settings > Members.

  2. Invite by link

    Share the unique link to invite people to this workspace. You can reset the link to generate a new one

  3. Once accepted, they gain full access to the workspace and its agents.

Best Practices

  • βœ… Maintain templated agents at the agency level for easier cloning across subaccounts.

  • βœ… Assign unique names and identifiers to avoid confusion when importing.

  • βœ… Use clear folder structures and naming conventions for better agent management.

  • ❌ Avoid editing imported agents before confirming functionality to prevent config errors.


Common Pitfalls

  • ❌ Trying to share agents across workspaces without importing.

  • ❌ Expecting public sharing between workspaces (not supported).
